Also, if you have any high school memorabilia available, that you wouldn’t mind bringing with you Saturday night, that would be appreciated - we would like to have some on display. As Missy said, “The item can be a trophy, medal, certificate, paper, etc. Whatever might be fun for the classmates to look at.”

And I realize at least some of the information on the invites sent out previously, and reproduced in past posts here, is inaccurate (namely the Fun Run location). Also, Missy has been sending out update emails via Facebook messages and emails, so I definitely wanted to include them here, better late then never, for anyone not receiving them.

- SATURDAY MORNING FUN RUN/WALK: From Missy’s post:
Please note that the Saturday morning event has been moved to Meadowbrook. Meadowbrook is located near Race St. and Windsor Rd. in Urbana, the park can be accessed from Windsor Rd. I know that Friday night may be a late one for many of us, but Christy and Jeannine have worked hard to put this together so show up…even if you have to crawl the distance! We will have to keep the start time at 7:30am, but since it is a non-competitive casual run, you are more than welcome to show up and jump on the trail with us at 7:45am, 8am, etc. Most of us will probably be gone by 9am to freshen up for the school tour and family fun day back in Rantoul. Christy and Jeannine will have your typical runner’s post-race nourishment there - water, bagels and bananas. I have heard that a bloody mary spectator club is forming for that morning, that may be of more interest to some of you:) Of course, it will be BYOBM. That is not your typical runner’s fare, at least not right after a run.
- CHARITY: Suggestions for the charity our class should donate to are still open, AFAIK.
- SATURDAY AFTERNOON FAMILY FUN DAY: Again from Missy’s post:
Otis and Shane have been busy planning our afternoon. They are orchestrating a monster kickball game for the adults. This should be fun - and this might be the last reunion we can do something like this without breaking a hip:) A number of games will be set up for the kids (e.g., obstacle course, bags) and we plan to cook out hot dogs. We have had a donation of chocolate chip cookies and we are trying to get the remaining food and drinks donated. It would be nice if we could provide the food at no cost to the attendees - other than the gate donation amount. We will keep you updated on this, but in the meantime, if you care to donate something or know someone that wants to donate, let us know. We are expecting 200+ attendees!

We would like to create a memorable gift from old pictures of you with classmates and current pictures of you by yourself or with family / friends / classmates. So dig up a few pictures and send them to us in the RSVP envelope. You can also e-mail electronic versions to mastephanou@sbcglobal.net. All pictures will be returned.
Summary — After passing on the Eastland Suites, we’ve since found an alternate location: The Hilton Garden, in Champaign. They were available, and can accommodate up to 200 people in the room reserved, for $4000-5000, depending on our choices. There is a larger room, but it is considerably more expensive, at $7000.
Recap — As was already described (Late Breaking Reservation News, and Eastland Suites Meeting Recap), we were previously considering Eastland Suites in North Urbana. However, the general consensus after the walk-through of the meeting room / dining facilities was that it was too small, and we could possibly overfill capacity with a decent turnout.
Searching — In recent weeks, a Venue Committee headed by Brian Schurter and Monica Carico was formed, with help from Otis Noble and Mark Langholz. Based on past input from meetings, emails, and phone calls, they set out to find a suitable place ASAP, scouting locations that could seat at least 180-200 persons on our tentative date.
Decision — This week, the Hilton Garden Inn in South Champaign (at Neil and Kirby) was chosen as the best location, after reviewing costs and taking a tour. Mark made reservations with a non-refundable $500 deposit. They are available for that date and can accommodate 150-200 people. There is a larger room available, but it does cost more, at $7000.
To Do — Several items do remain to be decided, such as a sit-down served meal versus a buffet style arrangement. As more info becomes available, we’ll update this site — reserved blocks of rooms, hospitality suites or rooms, dining arrangements, final costs, etc.
Menu — Hilton Garden supplied an extensive menu with pricing, which has been converted into a PDF for download and review.
Costs — Here is a rough breakdown of likely costs, data supplied by everyone else ;-) We need to pick either choice 2 or 3, for Served Meal or Buffet.
- $0 — Room Fee: Room ($500 Deposit)
- $4200 - $5000 — Served Meal: $21 - $25 per person
- $4000 - $6000 — Buffet: $20 - $23 per person
- $900 — Appetizers: $3.50 x 2 platters x 200 people est.
- $64 — Bar Fees: $25 + $10 x 4 hours
- $944 - $1133 — Service Charge: 19%
The per person fee would be $29 - $35. This is based on 200 in attendance and basic food/bar needs. In order to break even with the minimum fee ($3500), we would need 119 people in attendance at the low end of the range ($29), and 99 people at the high end of the range ($35).
Next Steps — Get the Save-The-Date postcards prepared, and mailed out to contacts. And keep hunting down more classmate contact info! With the date now set, we can start confirming activities for Friday and Saturday: Friday night at the Skydive, Rob Dailey DJ’ing on Saturday, Family activities Saturday morning and afternoon, Photographer, Etc.
Trivia — An unconfirmed rumor is floating around that the room we’re holding our reunion dinner in might very well be the same room we had our Senior Prom in! The building is new, the hotel is new, but the land is possibly the same — and it’s possible that the banquet facilities were retained when the old building was demolished for the new hotel. If anyone can confirm, or provide more info on our prom to help substantiate these rumors, please post or comment! (Where was our prom held? What location and address? When was the Hilton Garden built, and any details?)
